QNP WMS : Transforming Warehouse Operations with an Enterprise-Grade Management System

Distribution networks today run on thin margins and tight delivery windows. Fragmented spreadsheets, disconnected site systems and paper-based exception handling quietly cost businesses accuracy, throughput and trust. QNP WMS was built to close those gaps — an enterprise-grade Warehouse Management System that runs automated and manual facilities under one roof, gives every team real-time visibility of stock and work in progress, and keeps a complete, auditable record of everything that moves.

About QNP WMS

QNP WMS is a complete warehouse management platform for organisations that operate more than one facility. A single deployment models an entire distribution network — from the National Distribution Centre (NDC), through Regional Distribution Centres (RDC), down to Area Distribution Centres (ADC) — with each site defined as Automated (ASRS), Manual or Hybrid. An automated national hub and a manually operated area depot can therefore run side by side on the same system, under the same rules, with the same reporting.

The platform covers the full operational cycle. Goods arrive against a production schedule, purchase order, customer return or inter-warehouse transfer; they are received at pallet level, inspected where quality control is required, and put away to the right location by rules the business controls. From that moment every unit is tracked by bin, batch and expiry date. On the way out, orders are grouped into waves, stock is allocated on a first-expiry-first-out basis, and operators pick, pack, seal, load and ship against scan-verified instructions. Between sites, replenishment and rebalancing move through a formal transfer approval chain. Alongside all of this run the day-to-day disciplines that keep a warehouse honest: cycle counts, stock adjustments with approval, replenishment of pick faces, and a structured exception process for every discrepancy.

QNP WMS is designed to be used by the whole warehouse, not just the office. Managers and supervisors plan work, approve adjustments and watch performance on live dashboards. Checkers verify receipts and loading tallies. Forklift operators execute put-away, pickers work scan-driven pick and pack queues, and QC inspectors record inspections — all from handheld devices running the same system as an installable mobile app. IT administrators configure integrations, permissions and document numbering, with a full audit log behind every action.

Core Features and Modules of QNP WMS

We offer:

Multi-Warehouse Network Management : Model your entire network — NDC, RDC and ADC — in a single deployment, with parent and child relationships between sites. Each facility is mapped down to zone, aisle, rack and bin, with storage conditions defined per zone (ambient, chilled, frozen or controlled). A visual Warehouse Explorer lets anyone drill from site to zone to a rack elevation view and click a bin to see exactly what is in it, while a header warehouse switcher moves users between the facilities they are entitled to see.

Product Catalogue & Master Data : Maintain a single product catalogue with multi-level packaging — each, carton and pallet — carrying its own barcode, dimensions and weight, so conversions are never guesswork. Product handling can be tuned per warehouse: default zone, default pick face, put-away strategy, storage condition and quality requirements. Supporting master data for vendors, customers, carriers, vehicle types, docks and staging lanes is all managed in-app, backed by configurable reference lists you can extend without a code change.

Outbound & Shipping : Manage the full outbound lifecycle — from customer order creation to final shipment. Intelligent stock allocation, priority management, cut-off time enforcement, and a structured Confirm → Allocate → Pick → Load → Ship workflow keep fulfillment on schedule.

Delivery Network & Route Planning : Define your delivery footprint down to a four-level geography — island, province, regency and delivery zone — then attach routes with stop sequences, assigned carriers, vehicle types and per-day cut-off and departure times. Dispatch teams see immediately which orders belong to which route and when they must leave the floor.

Inbound & Receiving : Handle every source of incoming goods — production output, supplier purchase orders, customer returns and inter-warehouse transfers — through one structured workflow. Plan against production schedules, load orders in bulk from Excel or CSV, receive at pallet level with barcode confirmation, and let configurable routing rules decide where each receipt is staged and whether it needs inspection. Intelligent put-away suggests the right bin using co-location, first-expiry-first-out or nearest-available strategies, with quarantine handling for anything that fails on arrival.

Quality Control : Stop questionable stock before it reaches usable inventory. QC requirements are set per product and per warehouse, inspections are recorded line by line with pass, partial-pass or reject outcomes and supporting documents, and a Submit → Approve sequence keeps sign-off with the right authority. Sites choose how rejected goods are treated on arrival — refused outright or moved to quarantine.

Outbound Orders, Waves & Fulfilment : Run the full outbound lifecycle through a clear Confirm → Allocate → Pick → Pack → Load → Ship sequence. Group orders into waves and release them by single-order, batch, cluster or zone picking. Allocation respects expiry and batch rules automatically, while operators work a scan-driven pick screen that supports alternative bin selection, pick-face pulls and short-pick handling. Packing stations verify contents into containers, seal them with weight and temperature captured, and dispatch produces delivery notes ready to print.

Pick & Pack Replenishment : Keep fast-moving pick faces stocked without anyone watching them. Dedicated and shared pick locations carry minimum and maximum levels per SKU, and the system generates refill tasks automatically as levels fall — or on demand when an outbound order needs stock brought forward.

Internal Transfers & Stock Moves : Move stock between facilities under proper control. Transfers can be pulled by the receiving site or pushed by the sending site, and follow a Submit → Approve → Ship → Receive → Close chain with discrepancy reporting, short-close and reversal where needed. Within a single warehouse, bin-to-bin stock moves, consolidation and return-to-storage keep the floor tidy and capacity available.

Inventory Control & Accuracy : See real-time stock on hand by location, batch and expiry date, backed by a permanent movement ledger that records every change. Stock adjustments run through an approval workflow, cycle-count campaigns are planned, recorded and reconciled in-app, and built-in reconciliation views expose any mismatch between reservations, bins and balances before it becomes a problem. Stock and movement data export to Excel on demand.

Traceability & Recall Readiness : Follow any batch across its entire life — from the receipt that brought it in, through every storage location it occupied, to the customers it was dispatched to. Trace forward from a product or backward from a customer, so recall questions are answered in minutes rather than days

Task Management & Mobile Execution : Every operational event generates the work it needs — receiving, put-away, picking, packing, loading, refills, cycle counts, QC, moves and more. Task steps follow configurable workflow templates, so the sequence matches how your warehouse actually runs. Supervisors assign and monitor; operators get a role-filtered "My Work" queue, clock in and out with live shift tracking, and work from handhelds using barcode entry or the built-in camera scanner. The interface installs as a mobile app, with a bottom tab bar and touch-sized controls for floor use.

Exception Handling & Compliance : Quantity mismatches, wrong SKUs, batch and expiry discrepancies, damaged goods, full slots and equipment errors are captured as formal exceptions rather than corridor conversations. Each one carries the affected documents, photo evidence and a structured resolution — quarantine, adjust, return, dispose, override or recount. Berita Acara documents are generated and approved in-app for regulatory reporting, with the full trail retained.

Cold Chain & Temperature Monitoring : For chilled and frozen operations, storage conditions are enforced at zone and product level, temperature readings are logged against containers, shipments and pack stations, and a cold-zone dwell log records how long operators spend in low-temperature areas — supporting both product integrity and workplace safety compliance.

Analytics & Operations Dashboard : A live Operations Dashboard tracks the numbers that matter — on-time shipping, pick rate, inventory accuracy, dock-to-stock and order-to-ship times, open exceptions and average task cycle time — alongside a top-operator leaderboard. Eleven dedicated reports go deeper into inbound and outbound efficiency, storage occupancy, ASRS velocity, operator performance, task cycle times, inventory health, exception metrics, vendor scorecards, throughput heatmaps and cross-warehouse benchmarking by network tier. Every report exports to Excel, and scheduled reports can be emailed automatically on a recurring basis.

ASRS & Warehouse Control System Integration : QNP WMS speaks directly to your automation layer, issuing store-in, store-out, reservation and cancellation instructions and consuming real-time status callbacks as pallets move through the system. Because the WMS holds the batch and expiry intelligence, automated retrieval still honours first-expiry-first-out. A built-in sandbox lets integration teams simulate the full message set safely before go-live.

ERP Integration : Product, vendor and customer master data plus inbound, outbound and transfer orders flow in from your ERP, and the WMS sends acknowledgements and stock positions back. Connections are secured with rotatable API keys and protected against duplicate submissions, with field-level mapping, a complete synchronisation log and a sandbox environment for testing — so IT teams always know exactly what crossed the boundary and when.

Security, Roles & Audit : Access is controlled module by module and action by action — create, read, update, delete, execute and approve. Eleven ready-made roles cover the common warehouse job functions, from Warehouse Manager and Supervisor through Checker, Forklift Operator, Picker and QC Inspector to read-only Viewer, and you can copy or build your own with custom menu visibility. Users are granted access to specific facilities, and the system enforces that boundary on every request. Secure sign-in with account lockout, a complete audit log of user actions and an API request log keep the whole platform accountable.

Built for Daily Use : Practical touches make the system easy to live with: global search across menus and documents from a single keystroke, in-app notifications and alerts, automatic document numbering for every record type, light and dark themes, printable pallet labels and delivery notes, and email delivery through standard SMTP or a cloud email service. The interface scales from a desktop planning screen to a warehouse handheld without changing systems.
